GLYPH Rollout Process

Compliant Archiving

If your organization requires data archiving for compliance, start by enabling the archiving feature. Before proceeding, ensure you have a secure plan to store your encryption key. The key will only be presented once. SENTRIQS does not have access to it and cannot recover it if lost.

To safely store your key, use a plain text editor like Notepad or TextEdit. Avoid applications like Microsoft Word, which may introduce formatting issues that render your key unusable.

Steps to Enable Archiving

  1. Role Required: Admin
  2. Click the down arrow next to your workspace name.
  3. Navigate to Manage [your workspace].
  4. Select Archiving and click Enable when ready.

Organize and Name Communication Groups

Organize your workspace by defining how groups will be used and create naming guidelines. This ensures conversations remain structured and easy to navigate. Consider creating a group for company announcements where all members can participate.

Steps to Create Groups

  1. Click the down arrow next to Groups and select New Group.
  2. Provide a Name and Description that define the group’s purpose.
  3. Choose the group type:
    • Open Groups: Accessible to all users (except Guests) via the Browse Groups list.
    • Private Groups: Hidden from the Browse Groups list; members must be invited by the group creator.
  4. Select the Posting Behavior (Note: This setting cannot be changed after group creation).
  5. Configure Preserve Chat History (for maximum security, leave this disabled).
  6. For quantum-safe encryption, select CRYSTALS under Public Key Crypto Scheme.

 

Invite People to Your Workspace

Invite members to your workspace and assign them to the appropriate groups.

Steps to Invite Members

  • Role Required: Admin or Manager
  • Click the down arrow next to your workspace name and select Invite New Member.
  • Send individual invitations or create a Mass Onboarding Invite for large groups.
  • Add groups to the invitation to ensure new members are assigned to the correct channels.
  • Choose the delivery method:
    • Email: Select Send Link in Email Invitation.
    • QR Code: Share the QR Code via another communication app.

Members and Devices

GLYPH uses a zero-trust framework to enhance security. Every device a user logs in from must be authenticated and is added to their device list. When managing group memberships, you’ll need to add or remove devices individually.

Managing Members and Devices

Add a Member

  • Open the group and click the ellipsis icon.
  • Select Members.
  • Click Find Members:
    • Use the search bar to filter and select members.
    • Below, select a member and expand their device list.
    • Ensure at least one device is selected.
  • Click Save.

Remove a Member

  • Select the member and expand their device list.
  • Deselect all devices.
  • Click Save.

Manage Devices (on Android or iOS App Only)

  • From the group list, tap the gear icon.
  • Tap My Devices.
  • Swipe left on a device and select Delete.

Educate Your Team

Communicate to your team that GLYPH is the primary platform for organizational communication. This eliminates uncertainty about where messages should be sent or files stored.

Schedule a GLYPH Training Session to help your team become comfortable with the platform. Suggested topics include:

  • Group naming conventions and how to create groups.
  • Starting or joining group huddles.
  • Adjusting personal notification settings.
  • Direct messaging within the workspace.
  • Managing personal devices and group member devices.
